Privacy Policy

This policy explains what personal information RVIBS Online School collects when you register or study with us, why we collect it, who we share it with, and how you can have it corrected or removed.

What we collect

When you create an account we collect your name, email address, telephone number, gender, country and the programme you are interested in. If you are admitted as a student we also hold your date of birth, address and the details you or your guardian supply during admission.

When you study online we record which courses you are enrolled in, your progress and your assessment results. We also log the date and IP address of each sign-in, which we use to detect misuse of an account.

Why we collect it

To create and secure your account, to deliver the courses you enrol in, to issue invoices and certificates, and to contact you about your studies.

We do not sell your information, and we do not share it with advertisers.

Who we share it with

Our online classroom runs on Moodle at virtualcampus.rvibs.ac.ke. When you are enrolled, your name and email address are created as an account there so that your coursework and results can be recorded against you.

We send notifications by email through our mail provider and by SMS through Advanta, a bulk SMS gateway. Your telephone number is shared with that gateway only for the purpose of delivering messages to you.

We may share information where the law requires it, or with an accrediting or regulatory body where we are obliged to evidence your enrolment or award.

How long we keep it

Student and academic records are retained for as long as we are required to evidence an award. Marketing enquiries that never become an application are removed when they are no longer relevant.

Your rights

You may ask us for a copy of the information we hold about you, ask us to correct anything inaccurate, or ask us to delete your account. Where a record must be kept for academic or regulatory reasons we will explain why.

You can stop marketing messages at any time without affecting your studies.

Keeping information secure

Passwords are stored hashed and cannot be read by staff. Access to student records is limited by role. Sign-in attempts are rate limited and accounts lock after repeated failures.
